BNL's Modernization Project Office (MPO) mission is to design, construct, and update the physical plant of the Lab to provide facilities where world-class research can be performed.
We seek an Assistant Staff Specialist to join our Modernization Project Office (MPO) and support engineering/construction project management, implementation, and reporting. This position reports to the Manager of Facilities Project Management within the Modernization Project Office and is part of an Administrative Team to support the Facilities and Operations Directorate.

Essential Duties and Responsibilities:
In this role, you will:
Schedule meetings, reserve meeting rooms, arrange virtual meetings and access, as needed
Process and track engineering and construction management documentation throughout the entire project lifecycle
Generate requisitions for materials, equipment, and contracts to support project execution
Update specifications based on technical staff input
Maintain the department website, organizational chart, and contact list. Update and maintain the MPO Reference Book
Manage and monitor equipment maintenance contracts. Maintain supplies inventory
Initiate, compile and update monthly and quarterly project status reports and quarterly review presentations
Perform administrative reviews (typo checks, grammar checks, proper formatting, pagination checks, missing information, etc.) on all documents processed within the Modernization Project Office and edit accordingly to ensure accuracy and completeness
Process and track Engineering Change Notices (ECNs), requisitions and contract modifications
Initiate contractor registration
File and retrieve documents as needed. Handle issuance and retrieval of hard copy documents from archives
Support audit documentation requests
Support engineering and construction projects
Required Knowledge, Skills, and Abilities:
Bachelor's degree or related work experience; experience may offset qualifying degree on a basis of 2:1 (experience: college)
Highly proficient in MS Office products (Word, Outlook, PowerPoint, Excel) with knowledge of, or ability to learn, SharePoint or Google docs or equivalent.
Basic knowledge of document control and records management
Knowledge of videoconferencing tools, such as Zoom, MS Teams
Ability to work independently and under pressure to handle routine and nonroutine administrative matters in accordance with established procedures and guidelines
Excellent organization, communication, and administrative editing skills
Ability to collaborate effectively in a diverse team environment
Experience working in an engineering, scientific, technical, or project environment
Preferred Knowledge, Skills, and Abilities:
Bachelor's degree in architecture technology, engineering technology or related technical field
CAD experience/technical drawing
Technical writing skills
