UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Capital & Space Management, Real Estate, Sustainability and other teams responsible for planning and workload management. The Operations group includes Project Delivery, Maintenance & Construction, Campus Utilities & Operations, Building Services, Transportation Services and Safety. Supporting these groups, as well as the separate Emergency Management team, are the Business Intelligence & Information Technology group and the Finance & Administration group. Asset Management has an outstanding opportunity for a Property Manager to provide work order and building maintenance coordination for the University’s occupants in the building, and to manage occupancy and property management issues that may arise. Responsibilities include supporting the operations of the Hans Rosling Center for Population Health (HRC PH; asset management and maintenance of the property; acquisition and/or management of space required to achieve institutional objectives; and improvement of communications and procedures to enhance decision-making processes. Responsibilities: Occupant Satisfaction (40%) •Regular and frequent communication with identified lead contacts for each occupant group/unit to inquire about occupant concerns. Manage the spaces and confirm occupants are in the correct spaces. Verify occupant space information for is uploaded into GeoSIMS database. •Investigate occupant concerns and determine the responsible party to address the issue, including but not limited to: oWarranty Issues oMaintenance Issues oTemperature comfort oCustodial/Cleaning oMailing oWiFi /Cellular DAS / Data Port activation and conference room AV •Report any issues to the responsible party. This includes direct contact with warranty providers and entering work orders in UW Facilities AIM system and UWIT service requests. oLog, track and follow up on issues with the responsible party until resolved. •Coordinate repairs or construction work with occupants and the responsible party to mitigate impact to building program operations. oUnderstand/determine deficiencies in the building and notify CPPM/Portfolio Manager. •Provide and complete trainings for building systems. Coordinate with occupant group/unit leads on providing any training for the building. Communication (20%) •Serve as the lead communicator to building occupants for all building related issues, such as repair work and fire and life safety drills. •Develop effective communication tools to communicate with building occupants. Email distribution lists, web pages, departmental outreach, etc. •Educate occupants on building operations and occupant expectations. Security and Building Access (20%) •Ensure occupant and property safety by conducting daily walkthroughs in building and documenting any issues in daily log, if necessary. •Meet regularly with UWPD Security services to discuss building security concerns. •Collaborate with Building Coordinators from neighboring buildings to promote safe and active use of the site and grounds. •Serve as the Lenel Operator for building access. Add employee and student names and ID numbers to the system to grant appropriate access to the building. •Coordinate changes to building access with the UW Lock Shop. •Coordinate loading dock access and use with Building Coordinators in Physics and Astronomy and Guthrie Hall. •Educate vendors and those delivering items to the loading dock about protocols. •Grant loading dock and building access to vendors as needed to meet the program operations. Storage and Surplus (10%) •Work with the Governance Committee to develop process for reserving bike storage space, if applicable, provide access to the bike storage lockers, and distributing information to occupants on bike storage policy. •Work with occupant groups/units to support the storage of furnishings and equipment within the basement of the building or arrange for UW Surplus to remove items. Event Support (5%) •Serve as a resource to occupant groups/units to support special events. •Interface with UW Departments to arrange for support for special events. This may include UWPD Security, Transportation Services, Waste and Recycling, etc. •Coordinate relocation of lobby furnishings for events. •Coordinate outdoor events on the site and grounds with Building Coordinators from neighboring buildings. Other Duties as Assigned (5%) Requirements include: •BA or BS degree in Property Management or Business Administration •4-5 years’ experience in property management, facilities management, construction management, commercial real estate development or architecture; •An understanding of planning, design, construction management and respective terminology; •Proficiency in Microsoft Office and Microsoft Project; •A self-starter with strong interpersonal, analytical, problem solving, and consensus-building skills. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. |
